The customer in this case study is a hotel group that has introduced automation of their booking process. We'll explain how we Make.com with Apaleo, a cloud-based property management system (PMS) for hotels. This integration allows the hotel group to seamlessly update their reservation details, which has led to a more efficient and streamlined booking process. By automating their booking process, the hotel group saved valuable time and money while improving the guest experience.

Reservation automation challenge

One of the biggest challenges for hotels that are Booking.com Working together is the commission fee that they must pay for every booking. For example, if a guest books a room for a week at a price of 1000€, the hotel must pay 150€ as a commission to Booking.com. However, the problem occurs when guests cancel their reservation or do not show up at the hotel. In such cases, the hotel would have already paid the commission to Booking.com, resulting in a loss of income. This problem can be solved if the commission is only paid when the guest has paid the full price for the room. In this way, the hotel only pays the commission if the guest stays in the hotel and there is no risk of loss of income due to cancellations or no-shows.

Apaleo is a cloud-based property management system (PMS) for hotels. It was developed to help hotels manage their reservations, guest information, and processes more efficiently. It can be used with various third-party booking channels such as Booking.com be integrated so that hotels can manage all their reservations in one place Hotels can use Apaleo to automate tasks such as checking in and out of guests, managing room inventory, and creating reports. With Apaleo, they can also create individual installment plans, manage housekeeping and maintenance tasks, and track guest history. Overall, Apaleo is a comprehensive solution that can help hotels streamline their operations and improve the guest experience.

Wemakefuture has developed a solution that can make the process more efficient than before. We're processing your Booking.com reservation. How does that work correctly? At the beginning of each month, hotel employees download the reports for each hotel for the previous month. In other words, you would submit all the data and download every reservation made to a hotel via Booking.com. We automate this via Make.com, a no-code integration and automation platform.

The scenario in Make.com automates the process of retrieving reservation data from Booking.com and updating it in the hotel's Apaleo account. This can be done via APIs or webhooks, which enable the two systems to communicate and share information in real time.

As soon as the reservation data is read into Apaleo, it can be automatically processed and updated, such as creating or updating guest records, updating room availability, and creating reports. This automation can save time and reduce the chance of errors because data is automatically updated and no manual data entry is required.

In addition, Make.com can also automate other tasks, such as triggering email or SMS notifications to guests, sending confirmation emails, and even triggering surveys before arrival.

How does the scenario work in Make.com?

In this scenario, there are eight hotels, which means they're sending eight CSV files. Once we have these reservations, the scenario collects the files and divides them into smaller files. Due to complications involving big data, processing took too long and the scenario was shelved. That's why we've split it into files of no more than 500 lines each.

The next scenario will be about such files. If customers don't show up or for any other reason, the hotel is not required to pay the commission to Booking.com. This reservation is added to a list of all Booking.com reservations that should not be paid by the hotel.

At the end of the scenario, we create a file with all incorrect reservations and send a report to the hotel's finance department to initiate payment disputes.

Result for the hotel group

The result of implementing the automation scenario in this case study was of great importance for the hotel group. By integrating with Apaleo, the process of retrieving reservation data from Booking.com could be automated and updated in the hotel's Apaleo account. In summary, the automation scenario has proven to be an invaluable tool for the hotel group. It makes manual data entry superfluous and enables efficient management of reservations, guest data and processes. It also helped prevent loss of income from commission payments for reservations that were later canceled or didn't show up. The scenario has made the entire process more efficient, more accurate, and less time-consuming.
