Important background information

This case study provides insights into the processes of a German-based industrial company that specializes in the disposal of waste oil, emulsions and specialty substances. With strict environmental regulations that require innovative technology to meet these standards. It is important to remember that hazardous materials such as oil cannot be disposed of lightly and professional disposal is therefore necessary.

To find a solution to manage customer disposal requests more efficiently, our customer turned to us. Our development team came up with a creative solution: the integration of an automated form and a database that is also connected to an invoicing system. This form allowed customers to provide their personal information, set disposal requirements (type of substance, quantity, preferred date and time of disposal), and attach relevant files, ultimately simplifying the request process and increasing efficiency.

We've used a range of versatile tools to improve this process. First, has wordpress enables the creation of a user-friendly online form. Second served Airtable as our strong database. Then guaranteed Lexoffice effortless invoice and credit note management. After all, all of these tools were used by Make brought together to create a consistent and effective solution.

Submitting a form

Customers start the process by filling out the online form available on our client's website. Important details that the form collects include the type and quantity of the substance to be disposed of, the ideal time and date for disposal, and the ability to attach relevant documents. As soon as the form is completed, the customer submits it.

database integration

The information provided in the form is sent to our customer via email. In addition, this information is automatically transferred via WebHooks to a database that is in Airtable is saved. This database ensures effective management and organization of data and serves as a central warehouse for all customer inquiries.

Confirmation and offer

After successful addition to the database, an email is automatically generated, which is sent to the customer to confirm receipt of their request. However, before the email is sent, our customer also reviews the request to ensure that no information is missing. The system then calculates a disposal offer based on the company's price list.

This offer, including any changes made by our customer, is included in the email and provides the customer with a transparent and immediate cost estimate. This careful review process ensures that the offer is in line with the company's capabilities and obligations and contributes to a seamless transaction experience for the customer.

Involvement of partners

The system also forwards the same email to a business partner who is responsible for disposing of substances. Therefore, the partner also has the authority to reject or accept the offer. If the partner refuses, the system sends another automatic email to the end customer and our customer. This email communicates the decision and, if applicable, the reason for the rejection.

Unsuitable dates and times, unrealizable quantities or transport restrictions are common reasons for rejection. However, in the event of inadequate dates and times, the partner can suggest alternative dates and times, thus facilitating negotiations between all parties.

Invoicing or crediting

The system automatically creates an invoice for the customer when the offer is accepted by all parties. In certain cases, credits can also be issued, as the company can pay the customer to dispose of substances.

Challenges Solved, Problems Solved

During the project, a significant challenge arose in the automated price calculation process in the online form, in particular due to the complex formula that depended on the way the form was completed. The aim was to generate disposal offers seamlessly on the basis of a dynamic price list and thus ensure transparency and convenience for customers. The challenge, however, was that the system could not calculate prices for two different substances at the same time.

Despite the complexity of the formula, automation calculated prices with precision, provided that the required data was entered correctly. Although the customer has not yet fully utilized this capability, it demonstrates a robust efficient system. We believe that the outcome of the project demonstrates the efficiency and performance of the automated solution.

Although the challenge of making it possible to calculate prices for two different substances was an obstacle, the automated solution calculated prices with precision.
